Conferment dates

To become a graduate and receive your award certificate you must first apply for conferral of your award by lodging an Application for Conferral of Award Form.

  1. Receive an application form
  2. Complete the application form
  3. Return your completed application form by the closing date
  4. Pay the postage fee if not attending a ceremony
  5. Check your graduation details in studentConnect

Receive an application form

When you enrolled or re-enrolled at the start of the year you were asked to indicate a nominated completion date. If you indicated:

  • end 2011, an application form will be sent to you by post in early November 2011
  • mid 2012, an application form will be sent to you by post in early June 2012.

If you do not receive an application form by mid-November or mid-June, you can request one by using the ‘Ask a Question Tab’ in askUWA or by going to the Enquiry Counter at Student Administration (Hackett Hall) with photographic identification.

PhD and master by research students will need to request or collect an application form once their thesis has been classified as 'passed' or 'passed subject to correction'.

Complete the application form

Check all the details printed on the form including your full name and contact address.

Changing your contact or overseas contact address

You must change your contact details via studentConnect. If you cannot access studentConnect, reactivate your Pheme account using your student ID and date of birth and try again.

We do not accept change of address details by phone or email.

Administrative encumbrances and outstanding debts

If you have unpaid fees or fines you will be unable to graduate. It is important that you clear all outstanding administrative encumbrances prior to lodging your application form. If an administrative encumbrance is not cleared it will result in your application being cancelled.

You should be aware that encumbrances can be added at any time.

Adding or deleting any part of your name

To add or delete any part of your name you must re-write your name as it should appear and provide one of the following original documents listing your full name as you wish it to be recorded by the University:

  1. birth certificate
  2. passport
  3. change of name certificate
  4. marriage certificate.

Bring your completed application form and original documentation to the Enquiry Counter, Student Administration (Hackett Hall).

If you live outside of Perth, interstate or overseas it is unlikely you will be able to visit our office in person. Please forward by mail, together with your completed form, an original certified copy of one of the above documents which has been signed by one of the following:

  • Justice of the Peace
  • Commissioner of Declarations
  • a person who is permitted to witness documents
  • Notary Public.

Note: Photocopies and scanned copies will not be accepted.

Rearranging your name

To rearrange the order of your names in the section 'Name which will appear on your award certificate', cross out your entire name, print all your names again how they should appear in the box provided and sign your name. You do not need to present any legal documentation in this situation. You should note that while you are able to rearrange the order of your names on your certificate, all other official documentation will appear as given name(s) first and then your surname.

Attendance at a ceremony

You have a choice of attending a ceremony in Autumn (March/April) or Spring (September). All Graduation Ceremonies are held in the evening at Winthrop Hall.

Conferral in absentia – Not attending a ceremony

You do not have to attend a ceremony to graduate. You can graduate in absentia but you still need to apply and pay the appropriate fee in order to receive your award certificate. Depending upon when you complete your course your application to graduate will be processed to have your award conferred in absentia at a Graduation Ceremony or via one of the Senate Conferral Dates.

Note: Please be aware that once your award has been conferred in absentia, it is not possible for you to attend a future graduation ceremony to receive that award.

Combined courses section

(a) If you only wish to attend one ceremony and, for example, you are enrolled in a Bachelor of Commerce and Bachelor of Engineering course you would complete the section as follows:

Note: If one of your awards is being conferred after the ceremony you wish attend, you will be required to pay the postage fee.

(b) If you wish to attend two ceremonies and, for example, you are enrolled in a Bachelor of Commerce and Bachelor of Engineering course you would complete the section as follows:

(c) If you do not wish to attend any ceremonies and choose to graduate in absentia, you do not need to complete this section.

(d) If you have completed a bachelor's degree and an undergraduate diploma course you must complete two separate application forms. You will only be able to attend one ceremony per round.

All students must sign and date the Declaration by Candidate section at the bottom of the form.

Pay the postage fee if not attending a ceremony

If you are not attending a Graduation Ceremony you need to pay the required postage fee when you return your completed application form. Please note that your application will not be processed until payment has been received.

The postal fee is AUD$10 for Registered Post within Australia and AUD$20 for DHL Courier overseas.

You can pay by the following means:

  • come to the cashier at the Enquiry Counter, Student Administration (Hackett Hall) between 8:30am and 4:30pm Monday to Friday. You may pay for the postage fee by cash, EFTPOS, credit card or cheque made payable to The University of Western Australia.
  • post a cheque, money order (within Australia) or bank draft (outside Australia) made payable to The University of Western Australia with your completed application form.
  • complete and return the attached credit card payment form with your application form. The University accepts Visa and MasterCard only.

Your certificate will be sent to you a couple of days after your scheduled Graduation Ceremony date or Senate Conferral date. Please allow at least 10 working days for delivery of your certificate after your award has been conferred.

Check your graduation details in studentConnect

You must view studentConnect to make sure we have received your completed application. Please allow us two or three working days to enter your details before contacting us.

  • Have you moved recently? If so, have you updated your contact address?
  • Has your full name been entered correctly?
  • Have you checked to see what date your ceremony is?

Spring (September) graduands will be advised of the date of their ceremony in late July.
